We're Hiring: Administrative Assistant / Evidence Custodian
The Bourbon County Sheriff's Office is seeking a motivated. organized, and Customer focused Administrative Assistant/Evidence Custodian to join our team.
This full-time position plays an important role in supporting our daily operations of the Sheriff's Office. Work schedule is Monday through Friday, 8:00 AM -4:00PM, but could vary based on workload. Position Summary-Administrative Assistant
Manages daily office operations, including the handling of confidential law enforcement records, forfeiture assets, logging of training hours, and cross training for other administrative duties handled by two administrative assistants.
Core Responsibilities
Public And Internal Communication: Answer phones, greet visitors, and take messages for the sheriff administrative staff, including occasional execution of front office duties.
Record Keeping & Files: Maintain confidential electronic and physical filing systems for incidents reports, warrants, and personnel data.
Financial & Administrative Tasks: Process purchase orders, order office supplies for evidence, and manage spreadsheets for forfeiture accounts.
Position Summary-Evidence Custodian
Under general supervision, this position performs responsible administrative and technical work managing the secure intake, logging, storage, release, and legal disposition of property and evidence. The work must ensure full legal compliance and protects the integrity of the chain of custody for judicial proceedings.
Intake & Logging: Receive, sort and log physical and digital evidence, found property, and recovered items submitted by deputies.
Chain Of Custody: Maintain accurate computerized inventory records to track the exact location and legal status of every item.
Secure Storage: Store items safely, including specialized handling for narcotics, firearms, currency, biohazards, and digital media, while restricting room access to authorized personnel.
Dispose & release: Return property to verified rightful owners or coordinate lawful destruction, auction, or recycling of unclaimed items per court orders.
Agency & Court Coordination: Interface with the County Attorney, courts, and crime labs, preparing items for forensic testing and occasionally testifying in court regarding evidence custody.
Qualifications & Requirements
Education: A high school diploma or GED.
Experience: General clerical, secretarial, or office management skills.
Skills: Strong computer literacy (Microsoft Office, databases), professional verbal and written communication, typing skills, and the ability to maintain strict confidentiality. NCIC Certification is a plus.
Background check: Applicants must pass a thorough background check, including fingerprinting and drug screening, due to handling of sensitive and confidential law enforcement data.
